Design approved integrations and human handoff
Set action permissions, confirm system acceptance and give people the context to take over a voice or messaging conversation.

Separate the conversation from the business action
A conversational agent can collect a request and explain a next step. A business action changes or queries a connected system. Treating those as separate stages makes it easier to review permissions, confirm what happened and respond honestly when a tool fails.
For example, asking for a preferred appointment time is conversation intake. Checking availability and creating a booking are connected actions. The agent should distinguish a captured request from a confirmed appointment and use the connected system's result before announcing success.
Approve each integration for a specific purpose
Voxae supports configured API actions, webhooks and integration tooling. A named system in the provider catalog is a starting point for evaluation, not proof that every operation is enabled for every account. Confirm authorization, available actions and the data exchanged before release.
Review the minimum permissions needed for the job. Define allowed fields, validation, confirmation and how errors are explained. A custom API can provide a scoped business operation, but the integration still needs implementation and testing. Do not infer a native connector from an example workflow.
- Name the permitted operation and connected account.
- Review authentication, data fields and least permissions.
- Define confirmation and backend acceptance.
- Test failures and reconcile uncertain outcomes before retrying.
Make handoff a tested part of the workflow
Human handoff should preserve the reason for the conversation, details already confirmed and the action result that needs review. Define when the agent asks for help and which team or route receives it. A support escalation should not force the caller to repeat the entire conversation.
Messaging ownership and phone transfers have different mechanics. Voxae includes controls for people to take over messaging conversations and return them to the AI. Phone handoff needs a configured destination and a tested fallback. Verify both paths in the intended channel.
Prepare for an unavailable person or system
Decide what happens when nobody can answer or an integration is unavailable. The appropriate response may be a callback request, a case for review or a clear statement that the action could not be completed. Choose the fallback before a real caller encounters it.
An uncertain outcome needs reconciliation. If a network interruption happens after a booking request, blindly repeating it can create a duplicate. Review the actual record or return the request to a person. The agent's message should match the evidence, including uncertainty when confirmation is missing.
Review the complete path with your operations team
Evaluate the conversation, tool result, handoff and final record together. Test a successful action, a rejected action, an unavailable person and a caller correction. Confirm that the person taking over sees the context needed to resolve the request within the permissions of that role.
Voxae brings conversational workflows, approved actions, conversation review and human handoff into the same operating platform. The specific integrations and routes depend on configuration and provider approval. Agree the operating scope and acceptance criteria during a real evaluation rather than rely on a marketing diagram.
Questions about this workflow
Does a listed integration mean it is connected to my account?
No. The provider, account authorization, supported actions and workflow mapping must be configured and tested. Custom API actions require the appropriate implementation; a listed system does not imply unrestricted access.
What should the AI say when an action fails?
It should explain the confirmed result or uncertainty and offer the approved fallback. It must not claim a booking, order, transfer or record update succeeded without acceptance from the configured system.
