Plan an AI phone answering and receptionist workflow

Evaluate phone setup, approved answers, callback intake, routing and human fallback for a configured AI receptionist.

Decide what the receptionist should handle

An AI receptionist answers incoming calls and follows a configured front-office process. A practical starting scope is answering approved questions, understanding the reason for the call and collecting callback details. More involved actions, such as confirming a booking or checking an account, need a connected system and permission to use it.

Separate information requests from actions. A caller asking about opening hours needs a current approved answer. A caller asking to change an appointment needs the correct record, an authorized update and confirmation of the result. Define the exceptions that go directly to a person, including requests outside the agent's scope.

Prepare the number, call route and business knowledge

A phone workflow requires a configured number, supported call routing and provider readiness. Confirm the country, number ownership, inbound route and any outbound use with the team. Do not assume an existing business number can move unchanged without reviewing the provider's requirements.

Give the agent approved hours, service information, callback rules and escalation destinations. Keep holiday hours and changed policies current. Decide how the caller hears that they are speaking to an AI assistant and how recording or other notices fit the actual deployment.

  • Confirm number and provider setup.
  • Approve business answers and update ownership.
  • Define callback fields and confirmation.
  • Test staffed and out-of-hours routes.

Capture useful details without making unsupported promises

A callback flow might collect the caller's name, contact number, reason for calling and preferred time. The agent should read back important details and let the caller correct them. Your team needs a usable request, not a long transcript with the next step left uncertain.

Distinguish a callback request from a scheduled callback. If no scheduling system confirms a time, say the team has received the requested preference. Similarly, capturing appointment details is intake until a configured booking action returns confirmation. Test both success and rejection with representative data.

Design a real path to a person

Human handoff depends on a destination that can actually respond. Specify when a transfer is appropriate, who receives it and which context accompanies it. The fallback might capture a callback request if no person is available; choose a response that matches the business process.

Test unanswered transfers, busy staff, a caller asking for a named department and requests that the AI should not handle. Avoid telling a caller they are connected until the route has succeeded. Your acceptance criteria should include both the handoff and its unavailable-state behavior.

Review phone answering against your own scenarios

Use a sample of the business's real call reasons without exposing unnecessary personal data. Check knowledge accuracy, corrections, required fields and action results. Review records with the people who will follow up on the calls; they can judge whether the captured information is sufficient.

Voxae supports configured phone answering with workflows, approved knowledge and human handoff. An evaluation confirms the number, route, integration and operating scope. Website examples are illustrations of that process and do not place calls or prove a particular availability or response-time result.

Questions about this workflow

Can an AI receptionist answer after hours?

A configured phone route can handle calls outside staffed hours. Define the approved answers, callback process and unavailable-human fallback, and confirm provider readiness. After-hours handling does not mean a person or every connected service is available around the clock.

Can I use my current business number?

The deployment team must review number ownership, routing and provider requirements. Confirm the supported approach for that number before promising a transfer or migration.
