How to build and evaluate an AI voice agent

Define a useful job, connect approved knowledge, test voice conversations and review the evidence before launching a Voxae agent.

Start with a job a caller can understand

An AI voice agent is software that listens to a spoken request, responds conversationally and follows a configured process. A useful first deployment has a specific job: answer approved business questions, capture a callback request, qualify an enquiry or collect the details needed by a support team. The voice is only one part of that process.

Write down the starting point, the information the conversation must collect and the result that counts as complete. A receptionist may finish by capturing a callback request. A connected scheduling workflow may finish with a booking accepted by the calendar. Treat those as different outcomes, and make the distinction clear to the caller.

Configure knowledge, voice and permitted actions

In Voxae, configure the agent's instructions, voice, approved knowledge and conversational workflow. Use business material the team can keep current, such as opening hours, service descriptions and support policies. Decide how the agent responds when the answer is missing or a request falls outside its job.

Add tools only when their permissions and purpose are clear. Collecting a request, checking a record and changing a record carry different responsibilities. Review the required fields, confirmation step and response from the connected system. A spoken promise must not stand in for backend acceptance.

  • Name the agent's role and allowed scope.
  • Choose approved sources and an owner for updates.
  • Define confirmation before consequential actions.
  • Specify when to stop and involve a person.

Evaluate the conversation, not just the first greeting

Use representative scenarios that include unclear speech, interruptions, corrections, a changed request and incomplete information. Ask a question the knowledge does not answer. Test a tool failure and an unavailable human destination. Check whether the agent acknowledges uncertainty and keeps the caller's next step clear.

Review conversation records and collected fields against the expected outcome. If the caller changes a phone number or appointment time, the final record should contain the corrected value. If a request is rejected by a connected system, the agent should explain the result rather than claim success.

Choose the channel and prepare the handoff

Phone, website voice, website chat and WhatsApp have different setup requirements. Phone deployments need a configured number and call route. Website voice needs visitor microphone permission and a usable fallback. WhatsApp needs an approved business account and messaging rules appropriate to the interaction.

Identify who receives an exception, what information they need and what happens outside staffed hours. Test that path with the same care as the AI conversation. A small, reviewed scope gives the team clearer evidence than a broad agent with loosely defined responsibilities.

Launch in a controlled scope and keep reviewing

Agree the acceptance criteria before release: required fields, grounded answers, honest action results and successful escalation. Review the first real conversations and distinguish captured enquiries from completed business actions. Use that evidence to refine knowledge and workflow versions.

Voxae brings agent configuration, workflows, conversation review and human handoff into one platform. A demo should use your actual process and approved data so the team can assess fit. Channel and integration availability are confirmed during setup; this guide does not promise a particular cost, call duration or business result.

Questions about this workflow

Do I need a workflow for an AI voice agent?

A defined workflow makes the job, required information and permitted actions explicit. A question-answering agent can have a narrow scope; a booking or intake agent also needs field capture, confirmation, failure handling and a human path.

How should I compare voice agent platforms?

Use the same representative conversations and acceptance criteria for each evaluation. Review speech handling, approved knowledge, required fields, action outcomes, handoff and the records your team receives. Confirm commercial and channel requirements directly rather than assume feature parity.
